How we Collect Information



Clients

We Collect:

(a) Your name, telephone number, email address, job title, a form of ID and payment details.
We collect this to take steps to enter into or to perform the contract in place between us by registering you as a client on our platform, as well as our legitimate interest to find you suitable experts.

(b) If you contact us over social media or email, we also collect login information, time zone setting, browser plug-in types and versions, operating system, platform, IP addresses, MAC addresses & social media handles. We collect this on the basis of our legitimate interest to understand how our clients interact with us.

(c ) We collect a copy of your project’s screener questions for the purpose of distributing them to experts

(d)As part of the consultancy with experts we create audio-visual recordings of discussions so we may provide them to you. Depending on your preferences, we may generate a transcription of said discussions for your reference and use.

Retention Period: 6 years from the end of the financial year.

Experts


We collect:
(a) Your name, telephone number, email address, job title, a form of ID, employment history, professional accreditation records and payment details.

We collect this to take steps to enter into or to perform the contract in place between us by registering you as a consultant on our platform, as well as our legitimate interest to connect you with clients in need of your services and to build our database of experts. We search the internet and other publicly available sources to develop our expert databases.

(b) If you contact us over social media or email, we also collect login information, time zone setting, browser plug-in types and versions, operating system, platform, IP addresses, MAC addresses & social media handles.

(c ) As part of the consultancy with clients we create audio-visual recordings of discussions so we may provide them to clients. Depending on the client’s preferences, we may generate a transcription of said discussions for their reference and use.

We collect this on the basis of our legitimate interest to understand how our clients interact with us.

Retention Period: 6 years from the end of the financial year.


Other (including Job Applicants)


We collect:
(a) Your name, telephone number, email address, employment history and other data set out on your CV, if provided. This is often provided to us by your recruitment agent.

Where we obtain this information in your role as an advisor to Techspert, we do this in pursuit of our legitimate interests (to facilitate business between your organisation and ours).

Where you are a job applicant we may also include information related to your employment history and other data set out on your CV, if this provided (this is often provided to us by your recruitment agent) In addition to the data listed at (a) we collect this on the basis of our legitimate interest to assess job applicants, and to take steps necessary to enter into a contract with you. We also collect it because we are under a legal obligation to ensure applicants have the right to work.

(b) Feedback about you from our staff and comments on social media. We collect this on the basis of our legitimate interest to ensure potential job applicants will succeed in the role.

(c ) If you contact us over social media or email, we also collect login information, time zone setting, browser plug-in types and versions, operating system, platform, IP addresses, MAC addresses & social media handles.

We collect this on the basis of our legitimate interest to understand how people interact with us.

Retention Period: 6 months from the date of your application for unsuccessful candidates, 6 years otherwise.


What are your rights?


ACCESS: You have the right to access your personal data and obtain a copy of it;

RECTIFICATION: You can correct incomplete or inaccurate data we hold about you;

ERASURE: You can ask us to erase the personal data we hold about you;

RESTRICT: You can ask us to restrict our handling of your personal data;

PORTABILITY: You can ask us to transfer your personal data to a third party;

OBJECT: You can object to how we are using your personal data; and

COMPLAIN: You always have the right to lodge a complaint with us or the Information Commissioner's Office, the supervisory authority for data protection issues in England and Wales.

Data Transfers


Techspert may transfer customer personal data wherever we or our third-party service providers operate for the purpose of providing service.


In order to provide our services to you, where applicable, we may transfer EU customer personal data to the United States and Chile, and store the data in the United States using Techspert’s third-party service providers. We transfer this data to subprocessors that help us provide the Techspert services. This includes intra-company transfers to our US and Chile Offices.


Safeguard for Transfers


Techspert relies on the Standard Contractual Clauses for transfers of client and expert personal data originating in the European Economic Area to Techspert.

To safeguard onward transfers of client and expert personal data originating from the European Economic Area to Techspert’s subprocessors, Techspert enters into Standard Contractual Clauses with its subprocessors.


Training: All Techspert employees are required to complete training on handling of confidential information.


Techspert uses ‘encryption at rest’ as a development standard for all our databases and TLS encryption on connections.

 

Who do we share your data with?


Business partners, group companies, suppliers and sub contractors for the performance of the contract we enter into with them or you.

Analytics and search engine providers to assist us with the improvement and optimisation of our site.

Credit reference agencies to assess your credit where that is a condition of us entering into a contract with you.

Promotional events and marketing organisations we do not sell data for marketing purposes, however, we may share your data with a co-event organiser. We will always tell you before (usually on the event registration form) and you will be given the chance to opt-out before we do this.

Prospective buyers of our business

Regulators/ Authorities/ Enforcement Agencies if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of Techspert, our clients, our experts or other. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

AI Tool Providers - We make use of AI tools to help us categorise and summarise data. Where we use subprocessors, we take reasonable measures to ensure that your data is not used to train public systems to avoid impact on the confidentiality of your personal information

Subprocessors - A copy of our subprocessers is available to clients and experts upon request.


How do we collect information?


From the emails and telephone calls we have.

Online forms, this is usually when we are running events, or if you use our website form to contact us with an enquiry.

From the organisation or individual who recommended us to you.

Using the cookies on our website and pixels in our emails.

From our own research and data brokers where we are looking to reach out to new businesses who may be interested in working with us.
